Login via two-factor authentication is possible and personal data can be stored in compliance with the GDPR.

Transparency at a glance.

The AI assistant has an integrated dashboard that displays all important system data in real time. Companies can see at any time how high the current token consumption is, what costs this incurs and how well the system is performing. The dashboard also shows which content is used particularly frequently or which questions users ask for which there is no suitable content yet. This provides an ideal basis for expanding content in a targeted manner and continuously improving the assistant.

Which technologies power the AI assistant?
The assistant runs on Azure and can use various AI models depending on the use case. The FastAPI backend structure ensures fast processing, while the React frontend provides a modern and smooth user experience. Qdrant vector search finds content based on meaning, not just keywords. A three-level cache further accelerates access so that answers are delivered in real time even under high load.
Where are data stored and processed?
All data remain within the project and company infrastructure. Content, embeddings, and sessions are stored locally in SQLite and Qdrant. Optionally, media management is handled via Directus.
Is the system GDPR-compliant?
Yes. Data is stored in encrypted form, access is role-based, and can be secured with two-factor authentication. No user data leaves the infrastructure without consent.
Can we individually control access and roles?
Yes. There are role-based access systems with granular permissions. Admin, Content Editor, System Editor, and QA roles are preconfigured and expandable.
How is incorrect or irrelevant content prevented from being shown?
Answers are based on semantic search with score-based filtering and a direct-answer mode. Content is only used if it surpasses relevant confidence thresholds.
Can the system search multiple knowledge sources?
Yes. Content is organized into collections (e.g., Services, Projects, FAQs, About). The search runs in parallel across all collections and returns context-optimized answers.
Does the assistant work offline or without internet?
Yes. The system can run fully locally. Only the AI models (OpenAI Azure) require internet access or an on-premise alternative API route.
Can we update content ourselves?
Yes. Content can be managed via Directus CMS. Changes are automatically transferred to the vector database through an import process.
How is the system secured, monitored, and maintained?
Automated backups, monitoring, daily health checks, systemd logging, firewall rules, and automatic HTTPS via Caddy ensure stable and secure operation.
